Delegate Bookings – Live & Digital Events

Terms And Conditions 

PAYMENTS

Are to be made by debit/credit card only via our Stripe payment process. All payments are made under our ‘Book with Confidence’ pledge (see below).

CONFIRMATION OF REGISTRATION

Upon registering you will receive confirmation of your credit card payment and a VAT invoice. If you do not receive this within a week of booking, please contact the event manager via email: office@spacehouse.co.uk – to confirm that your registration was received.

CANCELLATION & REFUND POLICY:

Reservation is a contract. Substitution of delegates is acceptable up to 5 working days before the event – by email to admin@spacehouse.co.uk. Cancellations must be made by email to office@spacehouse.co.uk at least 20 working days before the event and will incur a 30% administration fee. No refunds can be given for cancellations received less than 20 working days before the event or for non-attendance. In the unlikely event of cancellation or postponement, for any reason other than local or national Covid-19 restrictions, the organisers will attempt to reschedule any event with bookings automatically transferred to the new date.

 Should a delegate be unable to attend the rescheduled event refunds will be made subject to our cancellation and refund policy as shown above.  Any liability will be restricted to the refund of fees paid.

The organisers reserve the right to make changes to the programme, speakers or venue should this become necessary.

COVID19

BOOK WITH CONFIDENCE

In the unplanned event of the venue being unable to open as a result of local or national Covid-19 restrictions, you will be able to transfer your delegate pass to our next available live event.  Alternatively, in the event of the cancellation of the event due to national or local Covid-19 restrictions, you may choose to request a refund restricted to the amount of attendance fees paid you have paid. (our Book with Confidence Pledge).

A)   Before attending, guests must familiarise themselves with and comply with the latest rules and guidance issued by the UK government regarding COVID19.

B)  Attendees are strongly advised to conduct a lateral flow test and report the result at https://www.gov.uk/report-covid19-result. The result will be texted/emailed to you almost immediately. It will also appear on your COVID pass inside the NHS App within a few hours. If you do have a positive lateral test result we ask that you do not attend our live events and follow government Covid-19 guidelines.

C)   By attending the conference, all guests are acknowledging their consent to, and agree to abide by, the safety precautions that have been adopted by that Venue, which may include (but may not be limited to) wearing of face coverings, social distancing and non-invasive COVID19 status certification checks. Safety measures for the conference and specific guest requirements will be set forth in the pre-visit email notifications. We reserve the right to amend such safety measures as appropriate when and where circumstances require. Failure to comply with any such precautions could result in guests being asked to leave the conference. We further reserve the right to refuse entry to any person that refuses to comply with our safety protocols.

D)   The safety measures that are being and have been introduced are intended to minimise the risk of contracting COVID19 but this risk cannot be completely eradicated. By purchasing a ticket to our live event, you are acknowledging that an inherent risk of exposure to COVID19 exists in any public place where people are present, and that you and those in your party voluntarily assume all risks related to exposure to COVID19 and agree not to hold Spacehouse Ltd, Spacehouse Ltd Event Partners or any of their affiliates, directors, officers, employees, agents, contractors or volunteers liable for any illness or injury. Anyone attending an Event acknowledges that they do so at their own risk.

DATA PROTECTION

The personal information provided by you will be held on a database and may be shared with other brands within Spacehouse Ltd if we feel you may have a legitimate interest in them. If you do not wish your details to be used for this purpose please contact admin@spacehouse.co.uk

Delegate Data

The majority of delegates register for our events online via our website or via a hosting platform.  Some may register over the telephone.  Once registered, data is stored on our website.  We use this information for the following:

• To send out early registration details and a conference programme
• To send registration confirmation once registered
• To send information prior to the event that will aid delegate planning
• To send final reminders
• To send a feedback form following the event
• To send information for next year’s event to ensure they are able to register early.
• By registering for the event, the delegate permits us to use the information for the above purposes
• We share delegate information with a small number of our exhibitors and sponsors who are involved in the same event.  Delegates can request that their details not be shared with exhibitors.  We do not share the information with anyone else.
• By registering and / or paying as a delegate at an event, conference or webinar, you agree to share your details (organisation, job title, & email) with exhibitors or sponsors who are attending the same event. 

INSURANCE AND LIABILITY

Registration for this event implies that the attendee agrees that, other than prescribed by law, Spacehouse Ltd is not liable whatsoever. Participants are requested to make their own arrangements for medical, travel and personal insurance.

Spacehouse Ltd accepts no liability for loss or damage to property brought to the event. You always remain responsible for your possessions.

FILM AND PHOTOGRAPHY

The organisers and brands in attendance will video and photograph the live events.

These materials will be used online and offline to promote the brands of Spacehouse Ltd and to advertise future events and for any future use by the brands.

By attending the event you agree to appear in such video and photographs. If you do not wish to have your photograph taken or be filmed, please inform the Conference Manager onsite so that they can ensure you are excluded from any filming or photography.
